HDE Secure Transfer Admin Console Guide

This article consists of instructions on how to properly configure and use in HDE Secure Transfer Admin Console in order to best suit the environment of your organisation.

In the "Management" menu of the HDE Secure Transfer Admin Console, there are five interfaces that can be accessed to obtain information about the activities in the Secure Transfer which are:

1) Sent Files
2) Received Files
3) Access Logs
4) Action Logs
5) Domain Information

1) Sent Files

In the "Sent Files" interface, you are able to see all of the sent files uploaded by all the users.

Enter the search period to look for the files that you want to find within a certain period of time or enter a specific owner's name to see all the files that were uploaded by this owner. 

Clicking on a specific file, you will be able to see information such as:

i) URL - The access URL to download the file(s).
ii) Password - The password to unlock the download link on the access URL.
iii) Downloads - The no. of times the file is downloaded by receivers.
iv) Memo - A note that is written by the uploader.
v) Uploaded at - The upload date and time.
vi) Expires at - The expiration date and time.
vii) Owner - The uploader.
viii) Files - The list of files uploaded onto one download link.
viiii) Log - The log of the downloads performed by the downloader.

At the right-most you have the option to disable the file to prevent anyone from downloading the file.

2) Received Files

In the "Received Files" interface, you are able to see all of the received files uploaded by all the uploader who received requests from your users.

Clicking on a specific file, you will be able to see information such as:

i) Sharing URL - The URL to share the file(s) with more users.
ii) Memo - A note that is written by the uploader.
iii) Uploaded at - The upload date and time.
vi) Owner - The requester, a user who requested files from the uploader.
v) Files - The list of files uploaded onto one download link.

At the right-most you have the option to delete the file to prevent anyone from downloading the file.

3) Access Logs

In the "Access Logs" interface, you are able to see all of the access activity with the files uploaded by all the users.

For a specific file, you will be able to see information such as:

i) Date - The access date and time.
ii) IP - The network IP address of the specific access activity.
iii) Client - A unique ID generated to differentiate each access activity from each other.
vi) Resource (Owner) - File name and the name of the uploader.
v) Bundle ID - The unique ID of a bundle that consists of a collection of information about the uploaded files.

Click on the Bundle ID and you will be able to see the following interface pop up:

As you can see above, there are a list of information that you can find in the Bundle Information such as:

i) Uploaded at - The upload date and time.
ii) Expires at - The expiration date and time.
iii) Owner - The uploader.
iiii) Files - The list of files uploaded onto one download link.

4) Action Logs

In the "Action Logs" interface, you are able to see all of the action done with the files uploaded by all the users.

For each action happened by your users there will be a log record for it such as:

Manual expiry - When the user manually disable a download link.
Upload by user - When a download link is created by a user.
Download by guest - When a download link is used by a guest to download a file.

5) Domain Information

In the "Domain Information" interface, you are able to see all of the information that is related to your domain.

As you can see above, there are a list of information that you can find in the Domain Information, to configure some of the settings, click on "Domain Settings":

The configurations available are:

i) File Download Link Available Days [1-14] : The default period of time until a download link automatically expires.
ii) Maximum Download per File [1-100] : The maximum no. of downloads that is allowed for the downloader to download each file.
iii) No Download Password : Allow or disallow a download link to be accessed without the need of inputting a password.
iv) Password Policy : The specific policy that the user need to follow while inputting or generating a password for a download link.
v) Default Language For Personal Notification : The language in which the notification mail will be written in when a file uploaded by a user is being accessed.
vi) Default Subject For Personal Notification : The Subject Title of the notification email.
